There are many users who use two applications that complement each other perfectly, such as Gmail email and Google’s calendar, almost daily to keep our tasks and appointments organized. And is that the organization is something fundamental in our day to day, so the correct treatment of the calendar can be of great help. Also, Google has just launched a new feature to improve our productivity.

Controlling the time we spend on each task from Google Calendar can be difficult. We must record events with start and end times to be able to keep track of the work we do on a daily basis. At the same time, we need to track the efficiency of time we spend on these scheduled tasks. All of this can now be made easier with the new Time Insights tool for Google Calendar.

New Time Insights feature for computers

Google Calendar has incorporated a new function that will allow us to see how we are spending our time in virtual meetings through a single panel, achieving a personalized analytical experience. With it we will have an analytical view of our time while we work remotely, thus being able to better manage our routines. These data will only be visible to the user himself, although there is an option for the administrators of the users’ accounts to access this function and see all the information on the calendar.

The events that appear in Time Insights are limited to only those that we confirm to join, have at least one guest, will be marked as “busy” and last no more than eight hours. To start using it, we simply have to open Google Calendar on our computer and click on “More information”.

The operation of this new tool is based on calculating the time we have dedicated to specific Calendar events and displaying the data in the right panel. Time Insights will be in charge of dividing the information into three types, such as:

  • Time breakdown : based on our working hours and the types of meetings we have.
  • Time in meetings : highlighting the days and times of many meetings, as well as the frequency of meetings.
  • People you meet with: Shows who we spend the most time meeting. We can also mark key stakeholders to ensure we stay in touch with them. Hovering over a person will also highlight the meetings on your calendar that include that person.

When can we enjoy this new feature?

This new feature will be enabled by default for administrators and end users and is available to customers of Google Workspace Business Standard, Business Plus, Enterprise Standard, Enterprise Plus, Education Plus and non-profit organizations. It will be released gradually from August 30, 2021, for administrators, and from September 6 for end users. The update will be activated progressively over the next 15 days. The new Time Insights feature will only be available on its desktop version.
