Gemini in Google Drive can help you find files, summarise material, and review suggested ways to organise loose files. You need an eligible Google Workspace or Google AI plan. Start with a small folder and review the source files before relying on an answer or accepting a move.
Updated : Updated the old side-panel-only description to Google’s current Drive guidance, including plan access, sources and approval of suggested file moves.

Open Gemini in Drive
- On a computer, open drive.google.com and check that you are using the right Google account.
- Look for Ask Gemini at the top right.
- Open it and type a specific request, such as “Find the notes about the printer replacement.”
- Check the source files it uses and open the relevant ones.
Google’s current desktop guide describes a full-screen workspace with a prompt box, conversation and project controls, and a Sources panel. Older screenshots may show a different layout. On mobile, the controls and available tasks can differ.
Choose the right task
| Task | Example request or control | What to check |
|---|---|---|
| Find a document | “Find the approved travel policy” | Owner, date and whether it is the final version |
| Summarise a file | Ask for the main points of a selected source | Numbers, exceptions and any missed sections |
| Compare information | Ask what changed across named files | That the intended files were included |
| Organise loose files | Use Suggest file moves where available | Every destination before confirming a move |
Be specific about dates, file names, and the question you need answered. “Summarise the cancellation rules in this contract” is easier to check than a broad request to “organise everything.”
Let Gemini suggest folder moves
Google documents an organisation feature for Drive on the web in English. It requires Editor access to eligible files. In My Drive or a folder, Suggest file moves appears when eligible files can be organised.
- Open the folder or My Drive and select Suggest file moves if offered.
- Review the proposed existing or new folders.
- Refine the suggestions or change names and destinations where needed.
- Select only the files you intend to move.
- Review the confirmation and approve the move when ready.
Google’s file-organisation instructions say Gemini does not move files without your permission. Suggestions are not a substitute for checking shared-folder arrangements, access needs, or your own filing rules.
Check the sources behind a summary
Open a cited file and compare the answer with its actual content. Pay special attention to totals, dates, names, and statements such as “all” or “always.” If a summary misses a condition, use the document rather than the summary as your reference.
For work spread across the open web, our Perplexity guide explains a similar source-checking habit. The source library and permissions are different from files inside your Drive.
Why Ask Gemini may be missing
- You are signed in to a different account from the one with the eligible plan.
- The organisation’s administrator has not enabled the relevant access.
- The task is not supported on that device, in that language, or for those files.
- You do not have the required access to a source or file.
Use ordinary Drive search and folders while checking access; do not upload work files to another service to get around an organisation’s restrictions. Review Google’s data-usage and disclaimer guidance before adding sensitive material.
If you also store photos in Microsoft‘s cloud, our OneDrive photo-organisation guide covers its separate tags, albums, and folders.
