The work with office files of all kinds is higher than ever, largely thanks to all the software solutions that we have at our disposal. For this we find formats as popular as the well-known DOCX, XLSX or ODF, among many others.
At the same time and how could it be otherwise, we also find a good number of applications in this same sense that are also very useful. These allow us to work with all kinds of documents such as those focused on text, numerical data, or even multimedia slides. But with everything and with it, in these same lines we want to focus on a specific format owned by Adobe that has not stopped growing. Specifically, we refer to PDFs that many of you will surely find more than familiar.
These are a specific type of file that are characterized by their versatility. At the same time they support a good number of types of content. Among these we can find, in addition to texts, videos, photos , tables, graphics, links, buttons , signatures, etc. In fact, one of the most important office programs in the world such as Word allows you to easily create these PDFs. To do this, all we have to do is write the document as such in a conventional way, and go to File / Save as.
Once here, as an output format, we will be able to choose the PDF type from among the many that we find in this program. But at the same time, we recommend that you make use of a series of functions to better manage these new PDFs .
Add the document properties
We must bear in mind that as a general rule a PDF is usually full of information, especially if we are going to share or store it for a while. That is why when saving the file from Word to PDF, we recommend checking the Document Properties box. Thus, non-printable metadata is attached to it but equally useful in the future.
Enable PDF / A support
As we mentioned before, on many occasions these files in PDF format are used to save digital data for long periods of time, even decades. That is why to optimize this type of use, in Word we also activate the option called Compatible with ISO 19005-1 (PDF / A). Keep in mind that PDF / A is a format specially designed for these specific storage tasks.
Optimize PDF quality
Likewise, depending on the type of use that we are going to make of it, whether local or online , we can save the file in one way or another. If we are going to use it locally on the PC for our own use, it is best that we optimize the saving of the PDF as Standard. However, if we intend to share it later with others over the Internet, we recommend that you make use of the Minimum size mode.
Protect the document
And to finish we will tell you that from the Options window when saving the file as PDF in Word, we also find the possibility of activating a protection function. Thanks to this we can add a password to access the file, more than useful if it contains confidential information.
